Q. What do I need to do to get started using Dolphin?
A. Once you contact us we will send or email you some set up forms – one to set you up as a client and one for each employee. Of course we’ll help you if you need assistance completing them! Send them back to us and we’re ready to start processing your payroll.
Q. How do I let you know what to pay my employees?
A. You can give us gross pay details by email, fax or telephone. You can also have employees paid per hour, per day, per month or any other way that is convenient for you.
Q. Can I start using Dolphin part way through the tax year?
A.Yes – we are happy to take a new client at any time of the year.
Q. What will I get for each pay period?
A. You will get laser printed payslips for your employees, copy payslips for yourself, two reports analysing the breakdown of your payroll, and if it is the start of a month you will also get a report showing you the payment that needs to be made to the Collector of Taxes for PAYE/NIC.
Q. How long do you need to process my payroll?
A. We guarantee to turn around payrolls in two working days but we actually usually make it next day. So if we receive your gross pay details on Tuesday we will usually send your paylips and reports out on Wednesday – and guarantee that they will be sent no later than Thursday. All information is sent to you first class post.
Q. What if there is another postal strike?
A. As with previous postal strikes, we will find a way round it so that you receive the information you need in time. We have previously emailed payslips to clients and we may also telephone you with net pay figures. We have even sent the information via SMS Text Message in the past.
Q. Will Dolphin communicate with HM Revenue and Customs on my behalf regarding payroll matters?
A. Yes. In fact we prefer to. It is easier for us as well if we are registered as your Payroll Bureau Service so that all communications are sent straight to our offices. We also submit P45 and P46 information electronically for you.
Q. What if HMRC wish to inspect our Payroll records?
A. We are happy to accommodate them at our office regarding the work that we have done. There would not be any additional charge for this! Please bear in mind that they may also need to see you to verify net pay payments to the payroll records.
Q. Do you also prepare my end of year return?
A. Yes. This is part of our service and is included in the fee. We submit all end of year forms electronically and have never missed a deadline for any client.
Q. Can you arrange payment of my staff by BACS?
A. We are not a registered BACS Bureau so are not currently able to offer this service. We may look at doing do in the future.
